Someone asking about a hair transplant almost never asks just one clinic. They compare between two and five, often in different countries, over several weeks. For the clinic that comparison turns into an uncomfortable figure: of every ten people who ask for a quote, only a few book a date, and most of the rest never say no. They simply stop replying.
Where the funnel leaks
A typical journey in a clinic without a system tying it together:
- First contact arrives by phone, WhatsApp or a web form. Whoever answers notes it down wherever they can.
- The quote is prepared by hand: the graft count is estimated by eye or from a table, and a PDF goes out with a figure or a range.
- Follow-up depends on someone remembering to write again after two weeks.
- Silence: the patient compares, cools off or picks another clinic, and the clinic never learns why.
Each step leaks differently. A reply that takes a whole day versus one that arrives in minutes; a figure with no explanation versus a breakdown by zone; an enquiry nobody picks up again.
An example to run your own numbers
Assume 40 quote requests a month, 20% ending up booking and an average value per surgery of, say, EUR 4,500 (invented figures for the example; replace them with yours). That is 8 surgeries and EUR 36,000 a month. If systematic follow-up lifted conversion by just two points, from 20% to 22%, that would be almost 1 extra surgery a month. It is not a promise of any result: it is the arithmetic to know how much each conversion point weighs in your clinic and how much it is reasonable to invest in improving it.
What matters is being able to measure it. A clinic that does not record where each request came from, when it was answered and what state it ended in cannot tell whether it loses patients on day one or in week three.
What it takes to fix it
- Reply fast, at any hour, including outside front-desk hours, without leaving the person waiting.
- A quote people can understand: with the estimated graft count per zone and the reasoning behind the figure, not just a total.
- An image of the case, so the patient sees on their own head what is being proposed.
- Dated follow-up that alerts the clinic when a quote has gone days without an answer.
- Data to decide with: how many requests come in, through which channel, how many are answered within an hour and how many close.
The features that cover each point, explained in detail:
- AI agents for voice, WhatsApp and chatbot: instant reply and data capture.
- 3D scalp scanning with LiDAR and graft calculator by zone: the basis of the quote.
- Quotes and invoices with a professional document.
- CRM, leads and campaigns: follow-up and measurement.
None of this replaces the surgeon's judgement, who decides what is proposed to each person. What changes is that the patient gets an orderly answer and the clinic knows where every request stands.
How each option on the market handles it
No single tool suits every clinic. Here is the summary; each comparison lists the pros and cons of both sides, with dated prices and sources, and when the other option is the better pick:
- TrichoSuite vs TrichoLAB: 3D planning, trichoscopy and patient-report specialist; the pages we reviewed publish no prices and ask for a meeting or demo.
- TrichoSuite vs Force HT: 3D consultation built from photos, no scanner, to show patients areas, grafts and scenarios; it does not publish prices either.
- TrichoSuite vs Flowww: general clinic management (aesthetic and hair medicine among its sectors) with public USD prices per plan and add-on modules.
- TrichoSuite vs Pabau: generalist clinic platform with plans by number of users and unlimited patients; its pricing page shows no amounts.
- TrichoSuite vs Clinic Cloud: Spanish generalist medical software, with Verifactu and TicketBAI, multi-site scheduling and an AI assistant for clinical notes.
