The patient record is the core of the clinical portal: everything else (photos, appointments, quotes, scans) hangs from it.
What it holds
- Data and background. Contact details, clinical history, medication and allergies, with templates oriented to the procedure type (FUE, FUT, DHI) on Starter and customisable templates on Professional.
- Medical forms. A form library the professional fills in on the record, with an entry history per patient and the option to schedule reminders when saving a prescription.
- Form builder. To create the clinic's own templates.
- Digital consents with signature. The patient signs on screen and the document is stored in the same record. Included in every plan.
- Documents. Digital reports and invoices with secure storage and instant access.
- Audit log and permissions. Each role sees what it should and accesses are logged.
Moving from Excel to the portal
If you already have patients in a spreadsheet, the import accepts a CSV file: it shows the rows found, lists the expected columns, skips duplicates automatically and on completion reports how many patients were created, how many skipped and what errors occurred. TrichoSuite's onboarding guidance puts medium-volume migrations at one to three working days, depending on data size.
Where the data is stored
Clinical data is stored on EU servers with encryption in transit and at rest, and files (photos, 3D models, documents) in storage with signed, time-limited access. Authentication supports two-factor. These same points appear in the website FAQ.
What it does not do
- It does not replace your obligations as data controller: the processor agreement is signed before the service is activated, but the notice to your patients and your record of processing remain yours. More in GDPR and medical data.
- Import is CSV with fixed columns; other formats must be converted first.
Which pain it addresses
It closes the problem of scattered records: photos, notes and consents in a single file. It is completed by photos and follow-up and the patient portal.
